How did the usability package come a product?

Way back many years ago, our developer was invited from SAP and he was asked, it would be nice if we could build some shortcuts on the SAP screens.

and our developers started, actually that's a good idea, let me try to develop something.

So we started developing and everything you see, what you can do with the usability package came from you, from customers like you, or from partners like Jack's company.

It's because hey, people really would like to do this in SAP, but you know, it's limited.

And you do not need to pay a developer.

We also have a CRM for Outlook solution.

And we also have a paper flow, which is a document solution.

I will go through some examples.

Those examples I have set up in my system.

The beauty is that you do not need to be a developer to build those.

Some are maybe a little bit more advanced, maybe you need to be a little bit more technical, but the beauty is with the usability package, and I don't have that slide there, I must have taken it out, that you do not need to be a developer.

The other thing, what you most likely like a lot is if you have to upgrade SAP Business One and you have a customization, you always have to consider, well, maybe SAP changed something, I need to upgrade this.

Will my customization work?

That's a big worry.

With B1 usability package, you don't have to worry about that.

We are the biggest solution provider.

We do test the new versions of SAP very heavily.

And our products, when you upgrade, automatically work with the new version.

So let's look at some examples so you get a little sneak a peek what you can do.

For example, let's talk about automations.

We are all about automations, validation.

We want you to save time.

We want you to validate data so you have real data in the system, not junk, because if you have junk in the system, you get junk reports, right?

Then you have to do adjustments.

So with the usability package, you can put a lot of control in this.

But first, automations.

So as you know, I don't know the nature of you guys' businesses, but if you have batch items, batch control items is if you receive them in, and then when you send them out, you have to tell the system which batch are you sending, because you want to be able to know.

In SAP Business Wants, which you guys are familiar, you see I have also additional menus here.

You can create additional menus here with the usability package.

You also can put menus within the SAP menu.

Maybe there is a custom reports unit.

But automation, this is one of my favorites.

This is actually one of the more advanced one, but I like to show it because it saves so much time on people, on users.

So you have a delivery and we know, and I'm sorry about this base, I was messing around here a little bit, but that's okay.

You have batch items and we know, oops, there we go.

Once you click add and wanna send that, you're going to get this box, and now it wants you to select those batches.

And you just sit here and go down that list.

Let's say you have 50 lines, you have 100 lines, you sit there for a little bit.

Hey, which batch am I sending out?

So you put a logic in there.

Maybe it's the oldest batch, right?

Go by date, which first in, first out.

You create a button and click batch.

So the system will open up that screen and it automatically will select those patches.

And you don't have to sit there and select them.

I had a customer that told me, this saved her so much time because they have very big deliveries.

She said, I clicked the button, I get up, get me a cup of coffee, and when I'm back, it's done because they have hundreds of lines.

So instead of you selecting it manually, you can let the system do it, very popular one.

Second example, and this is just an example to give you an idea what you can do is way back and I don't know if it's still, I used to work with customers sometimes on the AP side, you have somebody that do the AP outgoing payments, maybe they do checks, I don't know if people still do that, but it's a lot of learning every time if you have a big turnover, you wanna make it as simple as possible for a person.

Or maybe you wanna be really quick if there is a check that needs to go out because for whatever reason right now, I do not wanna go to banking, outgoing payment, outgoing payment, pull up the customer and so on.

It's a lot of clicks as we know.

So if you're in here, you would go to banking, outgoing payment, outgoing payment, pull the customer up, look for the invoice, and so on.

So what you can do, just an example, you pull up that AP invoice, so the customer called you and I said, oh, you need to pay this AP invoice, otherwise we're not gonna ship you anything else whatsoever.

So I'm going to find an open one, should have prepared one, and you see my date is very old, and it is old, it should work, I hope so.

So I do this AP Invoice, I have this Outgoing Payment button.

So I click Outgoing Payment, it opens up the Outgoing Payment, finds that invoice, checks it automatically, and goes to the, I call it Money Back, and creates the Outgoing Payment, and you're ready to print the checks if you do.

So all those clicks you do for banking, Outgoing Payment, look for the business partner, look for the invoice, go up to the payment means, I call it money back, you can go and do it right away.

I don't have my crystal report selected for this outgoing payment with print and delivery.

That's why this came up, has nothing to do with this settings.

But now my outgoing payment is created and you see right here, today's date, it's done.

Just with one button, so you save all those clicks, that's at least 10, 12 clicks, I just saved by not going through banking.

So in this case, I said open it up, copy it, click the add button and get out of that screen.

So the transfer request screen was never available for me to do something, because the button did it, the usability package did it.

And then we have print and delivery.

So print and delivery is a module within the usability package and this is where you can automate all your emailing, okay?

So you can say, I want to print and delivery to look every hour and see if there's a new sales order I wanted to go out to the customer.

Print and delivery is designed that you never need to click on the print button or email button again, it automatically does it.

You decide what you want to have on the subject, you decide what you want to have on the PDF, you decide what this body should say, the email body.

It's totally up to you.

You can also say, hey, if you send an invoice or sales order to me, I get a different form than all the other customers.

Every customer, I believe, who has print and delivery, uses it, I hope so, is where you send your customer once a month because you can say, hey, send something every hour, every minute, once a week, once a month, just one time.

But we know statements go out once a month.

We have our own statement, it's called account balance.

But this configuration here is, and I don't have my Outlook open, otherwise I will show it quick.

You say in your email body, you decide what this should look like.

You have a grid with all the open invoices and you have one PDF with all the invoices there open, outstanding, which means you will not get a call or an email from your customer or send me another copy of the invoice whenever received it, because here you're reminding them and you are touching all invoices that are outstanding in one PDF.

That's one of the best ones I like to say about print and delivery.

It's because you save a lot of phone calls, emails, and a lot of exporting it to PDF again.

Then you can put the statement, we have our own account balance and say, maybe send it first or send this first and then a few days later, you send this account balance to see if they paid anything, and you don't have to worry, Dita send out the account balances for this month, on the 25th, on the 26th.

You can do this all automatically, and I'm going to show you.

The way you do it when you have print and delivery is within the usability package, you have this scheduler here.

And this scheduler is designed for you, as I mentioned, that you never have to click the email or print button.

And then the account balance, as I mentioned, that you can email or print or save to PDF.

So you collect money by four years, a month, and I'm in.

So that's another example for print and deliver.

And this is all, I said this earlier, you do not need to be a developer.

And then a lot of times, the code has a bug.

With print and delivery, you can do this all with that solution, which is an add-on for SAP Business One.

So, the best, what I can suggest, so if you have 20 SAP license, for example, or 100, if you want to utilize the usability package, I highly suggest every user who works in SAP has a B1 up usability package.

Because if you do a validation and the user doesn't have a usability package, it's not going to affect them.

So that's what I would do.

But with print and delivery, since you can automate everything just by the smallest amount, depending if you're on subscription or on premises, on premises it comes in five packs.

So buy only five, because you're gonna configure it with the scheduler and it's gonna automatically do it.

So that's what I always suggest to customers.
